2. Information collected
We collect your name, email, required international phone number, city and region, country, travel preferences, workshop interests, experience level, participation preferences, possible dates and confirmation that the typical workshop fee is within your budget. We also record your choices about consent, the version of this notice, submission time and the page from which you submit. Technical services may process connection information for delivery, security and spam prevention.
Please do not submit medical details, information about your sexual orientation or sex life, or information about another person. Please do not include contact details or other personal information about your partner.
As you type a city or town, suggestions are matched against a GeoNames catalogue stored on our server. Your searches, contact details and workshop interests are not sent to GeoNames or another geocoding service. Selecting a location identifies the town, administrative region and country. We offer up to two nearby major workshop cities. If your selected location is already one of our major workshop cities, it is preselected as your preferred city; you can change that choice or search for another major city. Your request is grouped by your one preferred workshop city. We record how far you would travel from that city. Distances use town and city locations, not GPS or a street address. Search results may be cached locally for up to 24 hours.
3. Purposes and legal bases
With your consent under Article 6(1)(a) GDPR, we use your information to assess local demand, match interests with possible workshop programmes and contact you by email, WhatsApp or Telegram about the workshops you requested, including a request to reconfirm a specific city, period or price.
Workshop preferences in this context may reveal sensitive interests relating to sex life. Where they constitute special-category data, processing relies on your separate explicit consent under Article 9(2)(a) GDPR. We do not use workshop choices to make assumptions about your sexual orientation.
Separate optional consent allows participation in regional coordination groups through WhatsApp or Telegram. Declining group membership does not prevent you from submitting the form or receiving individual workshop communications through the channels covered by your contact consent. This form does not subscribe you to a general newsletter.
We may process limited information when necessary to comply with a legal obligation or to protect legal rights, under Articles 6(1)(c) or 6(1)(f) GDPR, as applicable.
4. Regional WhatsApp and Telegram groups
If you accept the optional group consent, we may invite or add you to a WhatsApp or Telegram group with other people interested in workshops in your region, using the phone number you provided. Telegram contact or addition depends on your account and privacy settings. Membership can reveal your association with a rope workshop. WhatsApp group members may see your phone number, profile information and messages. Telegram visibility depends on your privacy settings; your display name, username, profile and messages may be visible.
You can leave a group at any time and withdraw consent by email. We can stop using your contact details and remove you from groups we administer, but cannot guarantee deletion of messages or details already received, copied or saved by other members. Each platform also processes data under its own terms and privacy policy.
5. Who can access the information
Access is limited to authorised people managing the workshop interest list and necessary hosting, email, form-storage and technical service providers. Initial discussions with local organisers use aggregate figures that do not identify individuals. Your contact details are not passed to a prospective organiser for their independent use without a separate arrangement and appropriate information. Data are not sold or made public.
6. International services
Technical or messaging services may process data outside the European Economic Area. Transfers requiring GDPR safeguards must use an applicable adequacy decision or another lawful mechanism, such as standard contractual clauses. You may request details about the providers and safeguards relevant to your request. Optional group participation is not a blanket authorisation for unrelated international transfers.
7. Retention
The workshop interest list will be reviewed and information deleted or anonymised no later than five years after submission or your latest reconfirmation, unless you renew your interest. Withdrawal requests will be acted on sooner. Limited records required for legal obligations or claims may be retained for the applicable period. If you later book a workshop, the organiser will provide the information applicable to that booking.
This period reflects the time needed to gather enough regional interest and arrange an international workshop.
8. Your choices and rights
You may withdraw any consent, ask to leave the interest list, or request access, correction, erasure, restriction or portability where applicable. You may object where processing relies on legitimate interests. Withdrawal does not affect processing lawfully carried out before it. Contact kirinawakai@gmail.com; we may request proportionate identity verification.
You can complain to the relevant supervisory authority, including the Italian Garante per la protezione dei dati personali. No decision producing legal or similarly significant effects is made solely by automated processing.
9. Required and optional fields
Fields marked with an asterisk, the workshop budget confirmation, the combined privacy and contact consent, and the explicit sensitive-data consent are required for this form. Your phone number is required to coordinate workshop interest. Joining regional messaging groups remains optional. You can request workshop information by email without joining the interest list.
